The Monthly Client Report Every Agency Should Send

A monthly uptime report for clients is the cheapest retention tool an agency has. Most maintenance work is invisible when it's done well — the site just keeps working, and eventually the client starts wondering what the retainer is for. The report is where the invisible work becomes visible.

The five things worth reporting

Keep it to one page. Clients skim.

  1. Uptime percentage for the month. The headline number. 99.9%+ reads as "everything's fine"; anything lower deserves a sentence of context.
  2. Number of incidents and total downtime. "2 incidents, 11 minutes total" is concrete and honest. Zero-incident months are worth stating explicitly — that's the retainer doing its job.
  3. Average response time. Clients don't know what 280ms means, but they notice the trend line. A slowly climbing chart is your opening to propose the performance work before the site actually feels slow.
  4. SSL certificate status. "Certificate valid until March 14, renewing automatically" costs one line and pre-empts the scariest thing a client can see: a browser security warning with their name on it.
  5. What you did. One or two bullets: plugin updates, the redirect you fixed, the form that broke and got repaired. This is the part that's actually about you.

What to leave out

Raw check logs, server metrics, anything requiring your explanation to be reassuring. A report that raises questions creates support tickets; a report that answers them renews retainers.

Make it look like it came from you

The report should carry your agency's name and colours, not a monitoring vendor's. It's a small thing with an outsized effect: a branded PDF reads as your deliverable; a forwarded email from a tool reads as something you get for free and pass along. If the client is paying you monthly, everything they receive monthly should look like you made it.
